SARS has urged employers with outstanding 2026 Employer Interim Reconciliation Declarations to act before the 31 October 2026 deadline. In a media release issued on 29 October, SARS said employers have only a short period left to submit their EMP501 declarations and cautioned against waiting until the final hours.
The interim reconciliation covers payroll information for the six months from 1 March to 31 August 2026. Employers must reconcile their Pay-As-You-Earn (PAYE), Unemployment Insurance Fund (UIF) and Skills Development Levy (SDL) information, while ensuring that employee details and IRP5 or IT3(a) certificate data are complete and accurate. SARS’s 29 October media release also highlights the risk of validation errors, rejected submissions and unresolved discrepancies.
Submission is not the same as completion
One of the most important reminders is that generating or submitting an EMP501 does not necessarily mean that the reconciliation has been successfully processed. Employers should check the submission status and PAYE Dashboard after filing to confirm that SARS has received and processed the declaration.
This final verification step is particularly important where a submission produces validation messages or where payroll data has been corrected shortly before filing. A business that assumes the process is complete without checking the outcome may discover a problem only after the deadline.
What employers should reconcile
Before submitting, finance and payroll teams should compare the underlying payroll records and supporting information. SARS’s October tax guidance recommends checking that the following agree:
- EMP201 declarations for PAYE, UIF, SDL and applicable Employment Tax Incentive amounts;
- payments made to SARS, excluding penalties and interest; and
- employee tax certificate information reflected in IRP5 or IT3(a) data.
Employers should also confirm employee names, identity or tax reference details, payroll values and certificate information. Differences should be investigated and corrected before submission, rather than treated as minor administrative issues. SARS’s October 2026 Monthly Tax Digest provides the same reconciliation focus and confirms that submissions can be made through SARS eFiling or e@syFile™ Employer, with eFiling available to employers with 50 employees or fewer.
Software and process checks matter
SARS has noted that the 2026 interim filing season includes changes to EMP201 and EMP501, new source codes, revised validations and enhancements to e@syFile™ Employer. The October edition of Tax Practitioner Connect also refers to the latest e@syFile release and its functions for importing tax-certificate data, managing third-party appointments and registering employees for income tax.
Businesses should therefore confirm that their payroll software and e@syFile installation are current, particularly if a submission is being prepared close to the deadline. They should retain reconciliation reports, payment evidence, submitted declarations and any correspondence relating to rejected or corrected data.
Practical next steps before 31 October
- Complete the EMP501 reconciliation for 1 March to 31 August 2026.
- Compare EMP201 values, SARS payments and employee certificate data.
- Resolve validation errors and investigate unexplained differences.
- Submit through the appropriate SARS channel before 31 October 2026.
- Check the PAYE Dashboard and retain proof that the submission was successfully processed.
Late or inaccurate compliance may expose employers to penalties and interest. For businesses that need assistance with payroll reconciliations, tax reporting or broader compliance controls, YFP’s accounting and advisory services can provide a starting point for reviewing the process.
