SARS published release notes for e@syFile™ Employer version 8.0.2_418 on 5 October 2026, giving employers and payroll administrators a timely reminder to review their reconciliation tools before the 2026 Employer Interim Reconciliation deadline.

The update is relevant to businesses preparing their EMP501 declarations for the six-month period from 1 March 2026 to 31 August 2026. SARS’s current employer guidance confirms that submissions must be completed through e@syFile™ Employer or eFiling by 31 October 2026. Employers should not leave software checks and payroll data corrections until the final days of the filing period. SARS’s release notice and PAYE employer guidance provide the official details.

What the latest e@syFile release supports

SARS says e@syFile™ Employer enables employers and payroll administrators to complete, submit and revise EMP501 declarations. The platform also supports offline importing of tax certificates and capturing EMP501 information, allowing users to work offline and connect online when they are ready to submit.

Other functions highlighted by SARS include managing Third Party Appointments, commonly referred to as AA88s, and registering employees through the Income Tax Registration, or ITREG, function. The release notes are therefore relevant not only to the final submission step, but also to the preparation and maintenance of employee payroll information.

Who should act now?

The update affects employers, payroll administrators and tax practitioners responsible for interim reconciliation submissions. Employers with fewer than 50 employees may submit through eFiling, while e@syFile™ Employer remains available for employers generally. SARS also states that valid employee Income Tax numbers remain mandatory for employer submissions, and missing or invalid numbers may delay processing or result in an EMP501 being rejected.

The current reconciliation requirements include reconciling PAYE, UIF and SDL values to previously submitted EMP201 returns, checking actual payments made, and confirming that payroll information and IRP5 or IT3(a) certificates are accurate for the relevant period.

Practical checks for finance and payroll teams

  • Confirm the software version: Check that the latest e@syFile™ Employer release has been installed before preparing the final submission.
  • Back up payroll data: Keep a secure copy of payroll records, employee tax certificates and reconciliation working papers.
  • Reconcile the numbers: Compare EMP201 submissions and payments with the EMP501, including PAYE, UIF and SDL.
  • Review employee details: Check tax reference numbers, names, identification details and certificate information for errors.
  • Allow time for corrections: Submit early enough to investigate validation messages, rejected certificates or missing registrations.
  • Retain evidence: Save submission confirmations, revised declarations and supporting reconciliation schedules.

Do not treat the software update as the reconciliation

Installing the latest release does not replace the employer’s responsibility to submit complete and accurate information. It is an administrative step that should form part of a wider payroll review before the 31 October 2026 deadline.
